The formula is the one every pricing guide teaches: menu price equals item cost divided by your target food-cost percentage. A drink that costs you $1.25 at a 28 percent target prices to about $4.46. Lower the target and the price rises; raise it and the price falls. The three chips above show the same item at 25, 30, and 35 percent so you can see the tradeoff.

What a healthy food cost looks like for a cafe

Cafes commonly aim for a blended food cost in the 25 to 35 percent range, per recent industry sources. The blend matters: espresso and drip beverages usually run a lower cost ratio, while pastries and prepared food run higher, so a beverage-heavy menu can sit near the low end and a food-heavy one near the high end. The default here is 28 percent, a middle-of-the-road cafe target, not a number we are telling you to hit. Your real ratio depends on your suppliers, your waste, and your menu mix.

Why margin is not profit

Gross margin is what is left after ingredients, before everything else. Labor is usually the single largest cost in a cafe after cost of goods, and rent, utilities, waste, and franchise royalties all come out of that same margin. A strong food-cost percentage is necessary but not sufficient for a profitable shop.
